Audit Trail An electronic record of who changed what and when.
Categorization The process of organizing documents, images, web pages and other content into logical groups.
CD-ROM Compact disc read only memory.
COLD/ERM Computer output to laser disk/enterprise report management - COLD/ERM is a technology that usually indexes and stores reports.  After data storage, these reports can be retrieved, viewed, printed, faxed or distributed over the internet.  This technology is typically used for internet billing applications.
Collaboration Tools that allow multiple users to work on the same content in a common environment.
Compression A method for reducing the size of a digital image file.
Data Warehouse The repository of your organization’s data.
Database Electronic records, stored centrally, available to many users with many applications.
Data Repositories Repositories are part of a document management system, designed to manage check-in/out, version control and look-up.
Digital Rights Management Enables legal distribution and disables illegal distribution of paid content on the web.
Digital Signature An electronic signature that authenticates the sender of a message.
Document Imaging Capturing, storing and retrieving documents regardless of their original formats.
Document Management A software-based system that organizes and manages documents throughout your organization.
DVD An acronym for digital versatile disc, an optical disc that you can use to store video, audio, data and images.  A disc can be read-only, recordable or rewritable.
E-Forms/Web Forms Forms that are designed, managed and processed completely and exclusively electronically.
Electronic Content Management System A technology that permits you to manage and track the location of and relationships among stored content.
EMR - Electronic Medical Record An electronic medical record (EMR) is a medical record in digital format.  In health informatics an EMR is considered by some to be one of several types of EHR (electronic health record)s, but in general usage EMR and EHR are synonymous

HCR (Handprint Character Recognition) An acronym for handprint character recognition, a character-recognition technology that is designed to convert handwritten or printed characters into ASCII code.
ICR An acronym for intelligent character recognition, a character-recognition technology that includes the ability to enhance the probability of accurate recognition.
Indexing The defining of document or database record attributes to facilitate retrieval.
Input Designs Templates that make it easier to enter content into a content management system.
Magnetic Storage Hard discs, tape, floppies, anything depending on magnetism.
Magneto Optical The recording of data using a combination of magnetic and optical technology.  Data is erasable and/or rewritable.
Microfilm Can be an aperture card, microfiche, microfilm jacket or 16mm roll.  Microfilm is a fine-grain, high-resolution film used to record originals at a very much-reduced size.
NAS Network-attached storage, hard disk storage directly connected to the network for information access.
OCR - Optical Character Recognition An acronym for optical character recognition, by which characters can be recognized and converted into data that can be processed.
OMR Optical Mark Recognition – The presence or absence of marks is recognized in defined areas for processing.  OMR is used to tabulate the results of tests, surveys, questionnaires and similar applications.
Optical Disc A medium that uses optical impulses to store and retrieve data.
Optical Disc Primarily WORM, write once; read many.  When you store data on an optical disk, it’s unalterable but you can read it many times.
Paper Between paper and microfilm, you assure that documents are readable centuries from now irrespective of how technology may change.
PDF An acronym for portable document format that maintains document appearance across formats and platforms.
Personalization Matching content to the individual.
PKI - Public Key Infrastructure An acronym for public key infrastructure.  PKI permits the secure exchange of content via the use of a cryptographic key that is obtained from a recognized and trusted entity.
RAID Redundant Array of Independent Disks - RAID is the storing of the same data on multiple hard disks for better performance and protection of the data if something bad happens.
Records Management Is a software-based system that allows an organization to assign a specific life cycle to pieces of corporate information from creation to ultimate disposition.  There’s a difference between documents and records.  Documents may or may not be essential for your organization.  Records are always essential for your organization.
Repositories (or Data Repository) Repositories are part of a document management system, designed to manage check-in/out, version control and look-up.
Retrieval The process of searching for and extracting data.
SAN - Storage Area Network Is a high-speed network that connects computer systems and storage devices.
SAN/NAS and CAS Network attached storage and content addressed storage -  Are used for archiving; but CAS is specially engineered for speedy access.
Syndication The offering of content for use with other content, generally for a fee.
Tape A magnetic storage medium in roll or cassette form.
Transformation Converting content from the storage format to the destination format.
Version Control The process of identifying the authors and sequences of different versions of a document.
Web Content Management Technology that handles creation, review, approval and publishing of web-based content.
Workflow/BPM Workflow business process management is an automation of processes whereby documents, info and tasks are routed from one person to another for action according to a system you design.
XML An acronym for extensible markup language, a standardized language designed to facilitate document construction from standardized data items.
